While you wait for a technician

A few minutes of the right action buys hours of holding time. These are the first steps we tell clients to take on the phone.

Ultra-low freezer alarming

A full −80 °C freezer unopened holds usable temperature for several hours. Every door opening costs you a meaningful share of that.

Do now: keep the door shut, note the temperature and the time the alarm started, identify where product would go if you have to move it.

Vaccine or blood bank refrigerator out of range

Product may still be viable, but only if the excursion is documented from the moment it started.

Do now: quarantine — do not discard. Record the temperature log, start your excursion procedure, and call the manufacturer or program for viability guidance.

Cryostat down with cases scheduled

Most cryostat failures are field-repairable the same day — refrigeration faults, defrost problems, drive and anti-roll issues.

Do now: note the chamber temperature, whether it pulled down at all, and any recent error. That triage detail often decides whether we bring a part with us.

Centrifuge stopped or won’t reach speed

Do not force the lid. An imbalance or lid-lock fault can indicate a rotor issue, which is a safety matter before it is a service matter.

Do now: power down, leave the lid latched, and do not run another cycle until it has been inspected.

Incubator or water bath off temperature

Often a failed sensor or controller rather than a failed unit, which usually means a fast repair.

Do now: move time-sensitive material to a verified backup unit and record the transfer.

Anything that failed calibration

An out-of-tolerance instrument may mean reviewing results reported since its last good calibration.

Do now: take it out of service, tag it, and note the date of the last passing calibration — that date defines your review window.

Loaner, rental and bridge coverage

Our first objective is always to return your own instrument to service the same day. When that is not possible, these are the options — and the facilities that arrange coverage in advance are never the ones scrambling.

Loaner units
When an instrument cannot be returned to service the same day, we work to place a working unit with you — verified and documented before you use it, and the swap recorded for your compliance file. Availability is confirmed case by case.
Short-term rental
For facilities between purchases, relocating, or building out new space. Installed, verified and documented the same way a permanent unit would be.
Bridge units
Coverage while a capital purchase clears approval — so a budget cycle never becomes a compliance gap or a cancelled surgical day.
Backup planning
For ultra-low storage holding irreplaceable material and for single-cryostat Mohs labs: where product goes and who to call, agreed before a failure, not during one.
Post-repair verification
Nothing goes back into service on a display reading. Temperature verification against a traceable reference, documented — which is also what your accrediting body will ask for after an excursion.
